A/C units die every day, and homeowners are left scrambling for a solution. Their needs become a race for service, and whoever responds first – either with a real person or a real booking link – is usually the one walking away with a job before other contractors have even had time to look into the lead. 

As you probably know, this is called speed-to-lead, i.e. the moment a prospect reaches out to the moment they make contact. It’s become one of the biggest factors separating the contractors who are growing from the ones who’ve plateaued.

78% of customers buy from the first business that responds to them.  

That’s nearly four in every five customers buying from whoever gets back to them first. It’s not based on reviews or even the cheapest quote. They’re simply picking the first contractor to reply. 

And here’s the thing: it gets worse the longer you wait. Studies show that lead quality drops by roughly 80% after the first five minutes. Think about it: that’s almost a 160-point swing when you wait more than five minutes to respond and someone else gets there before you. Your chances of winning the job are suddenly much less than zero.

Those who treat automation as their primary communication strategy tend to feel it a year or two later: fast responses, but nothing behind them, and any “won” customers eventually leave for whoever happens to call back quickest next time.

There’s a flip side to speed-to-lead worth mentioning here – one more element in the overall communication process that can take your business to the next level. Contractors who perform best aren’t just answering inbound leads faster than their competition. They’re also reaching out to prospects first. We’re talking:

  • Proactive scheduling 

Simply put, these contractors are always reminding past customers that they exist. Some of the best customer touches can happen before that person ever has to pick up the phone for service.

And here’s how it relates to you, specifically: 88% of HVAC businesses take longer than five minutes to respond to a new lead. This makes a quick response time even more valuable – if you get there in the first few minutes, you’re all but guaranteed to be one of the first contractors that makes contact. 

So, step one: Choose, implement, and integrate an A.I. tool that can help your team contact leads within five minutes of them reaching out to you. 

Remember, though, that it’s not just about speed. You still need to win the job after your initial, automated response, so you’ll want to make sure that communication tool is set up to either add a meeting to your calendar, transfer the prospect to a sales rep, or provide additional information regarding whatever they need.  

Step two: Set up your A.I. tool as the “middleman.” 

Once you’ve got your chatbot or A.I. agent set up to answer homeowners within minutes and point them in the right direction, it’s time for human intervention. This is where you not only win the job but secure the relationship.

People can use A.I. to help streamline processes and manage workflows, but human interaction will always prevail in making your customers feel appreciated. These are the interactions that build trust, generate word-of-mouth business, and prompt positive reviews.  

A chatbot can get your foot in the door, but your comfort advisors are still the ones who need to close sales. That’s not changing any time soon.
